Customer Support/Sales Administrator

Job Description

The Customer Service Representative ensures exceptional service and satisfaction by addressing customer inquiries, resolving issues, and facilitating smooth internal coordination with sales, accounting, scheduling, and manufacturing teams. This role also supports administrative tasks and contributes to timely and accurate order processing and shipments.


Qualifications and Requirements

Education

  • High School Diploma or Equivalent (Some college preferred).

Experience

  • 1-2+ years in administration or customer service, preferably within a manufacturing or ISO 9001 environment.
  • Familiarity with MRP/ERP systems and compliance regulations (e.g., Prop 65, Reach, RoHS, conflict minerals) is a plus.

Skills & Abilities

  • Strong verbal and written communication skills.
  • Excellent interpersonal skills to work with cross-functional teams and external clients.
  • Proficiency in word processing, spreadsheets, and other computer applications.
  • High attention to detail with the ability to multitask, prioritize, and meet deadlines.
  • Basic math skills and knowledge of general office practices and company procedures.
  • Adaptability to thrive in a fast-paced, dynamic environment.

Key Responsibilities

Customer Service and Order Support

  • Respond to customer inquiries, process orders, and resolve issues professionally and efficiently.
  • Input sales orders, quotations, rejection orders, and create job travelers with accuracy.
  • Monitor order progress by coordinating with production teams to meet customer deadlines.
  • Communicate product delays and update order records and paperwork to reflect changes.
  • Handle customer concerns and inquiries promptly, ensuring satisfaction and issue resolution.
  • Collaborate regularly with sales teams to align on account activities and updates.

Quality and Compliance Support

  • Identify and document customer quality requirements by reviewing purchase orders.
  • Create quality plans and update the Bill of Materials to meet customer specifications.
  • Ensure supplier purchase orders align with defined quality and compliance standards.
  • Verify and compile accurate documentation for parts in preparation for shipping.

Administrative and Engineering Support

  • Assist with ISO 9001/AS9100 documentation and related quality initiatives.
  • Respond to requests for documentation such as NAFTA, RoHS, etc.
  • Input and update information accurately in the ERP system.
  • Provide engineering support by analyzing product and process quality data and summarizing trends.
  • Perform general administrative duties such as filing and documentation as needed.

Other Duties

  • Handle special projects and assignments as directed by management.
